Archive documents

This guide shows you how to archive published documents in Klarify.

Archiving hides a document from your team. No one will be able to view any version of the document, discover it in the repository, or open it from documents shown elsewhere — until it is restored. Only editors of the document can still access it while archived. Archiving does not delete the document or any of its linked documents (subprocesses, embedded task instructions, or global tasks).

Prerequisites

  • You have the required permissions (see above)
  • The document has been published at least once

Instructions

Open the published document, click the overflow menu (three dots) in the top right corner, and select Archive.

Step 1: Review the impact

  1. Review the list of Editors who will still be able to access the document while archived.
  2. If the document has linked documents (subprocesses, embedded task instructions, or calling procedures), review the Linked documents section. These documents are not affected by archiving.

Step 2: Confirm and archive

  1. In the confirmation section, check “Yes, I’m sure I want to archive [Document Name]”.
  2. Click Archive.

Unarchive a document

You can restore an archived document to make it available to your team again.

From the archive page

  1. In the sidebar, navigate to the Archive page.
  2. Locate the document you want to restore.
  3. Select the document and click Restore.

From within an archived document

  1. Open the archived document (only available to editors).
  2. Click Unarchive in the top right corner.
