Write task instructions

This guide shows you how to write content in the task instruction editor.

The task instruction editor is the same for both global tasks and embedded task instructions. It includes areas for a vendor link, cover image or video, rich text instructions, and numbered steps.

Enter task details

  1. Enter a Name for the task instruction (required).
  2. Click Unassigned owner to assign a task owner who is accountable for the task.
  3. Click Assign task performers to add people responsible for performing this task.

A vendor link is a URL to the external application where the task is performed (for example, SAP, Salesforce, or Jira). When added, it becomes the automatic first step of the task instruction — displayed as “Navigate to [vendor domain]” — so the performer knows where to go before following the remaining steps.

Only one vendor link can be added per task instruction. You can add or remove it at any time while editing.

  1. Below the instructions area, click add vendor link.
  2. In the Add vendor application link modal, paste the URL to the vendor application.
  3. Klarify automatically fetches the vendor’s favicon and title from the URL.
  4. Click Add vendor application link.

The vendor link appears as Step 1 in the steps section. All other steps shift to Step 2 and onward. A vendor icon also appears on the task node in the process model editor.

To edit or remove a vendor link, use the edit (pencil) or delete (trash) buttons on the vendor link step.

Add cover media

  1. Drag and drop a cover image or video into the media area.
  2. Or click upload to select a file from your device.

The cover media appears at the top of the published task instruction and helps viewers quickly identify the task.

Write instructions

  1. Click in the Instructions area to open the rich text editor.
  2. Write the task content using the formatting toolbar:
    • Text formatting — Bold, italic, underline, strikethrough
    • Lists — Bulleted lists, numbered lists, checklists
    • Links — Add hyperlinks to external resources
    • Info callouts — Highlight important information

Add steps

The Steps section allows you to break down the task into numbered steps that viewers can follow and track.

  1. Scroll down to the Steps section below the instructions.
  2. Click to add a new step.
  3. Enter a step title and detailed instructions.
  4. Repeat to add additional steps.
  5. Use Collapse all or Expand all to manage step visibility while editing.

Each step can include:

  • A clear, action-oriented title
  • Detailed instructions with formatting
  • Links to external resources (such as websites or tools)

If a vendor link is present, it occupies Step 1 and the steps you add here are numbered from Step 2 onward.

Use the tabs below the title to attach supporting material:

  • Overview — The main task view (default)
  • Attach — Add related files and documents
  • Link — Add external links for reference
  • Embed — Add embedded content

Save your work

  1. Click Save in the top right corner to save your changes.
  2. The task instruction remains in draft status until you publish it.

For embedded task instructions, click Go back to process model to return to the canvas.
