Assign task owners

Every published task instruction has a Task Owner. The Task Owner is the position accountable for the task — not an individual employee. The employee currently filling that position carries the accountability, which stays correct when people change roles.

How you assign a Task Owner depends on whether the task instruction is a global task or an embedded task instruction.

Global tasks

A global task is a standalone task instruction that lives outside any process model. Every global task has its own Task Owner, set independently of any other document.

Assign the owner from the editor

While writing the task instruction, click the Unassigned owner button at the top of the editor and select a position. See Write task instructions.

This sets the owner on the draft so you don’t have to assign it later during publishing.

Assign the owner when publishing

A Task Owner is required when you publish a global task. On the first step of the publish wizard, select the Task Owner and search by position job title. See Publish global tasks.

Embedded task instructions

An embedded task instruction lives inside a process model, attached to a task in the BPMN diagram. Embedded task instructions inherit their owner from the parent activity — a subprocess if one wraps the task, otherwise the root Process Owner — unless you assign one explicitly.

Assign the owner from the editor

Inside the embedded task’s editor, click the owner button at the top to assign a specific position. The owner you set here overrides the inherited owner. See Write task instructions.

Assign the owner when publishing independently

Embedded task instructions can be published independently from the parent process model. In that flow, a Task Owner is required, the same as for a global task. See Publish embedded tasks.

Assign the owner when publishing the process model

When you publish the parent process model, the Select Task Instructions step lets you assign a Task Owner per selected task or choose Inherit owner from parent to inherit from the parent activity. See Publish process models.

See the owner in document lists

The Documents page has an Owner column that displays the assigned position’s job title. The column can be sorted.
